RBA Board of Trustees Minutes

Meeting Opened at 7:14 pm

Opened with the Serenity Prayer and AA Traditions One and Two. Our mission is to manage the property, finances and 501C3 for the RBA.

1. Members Present:

  • Joe R., Bill M., Cherisse K., Trunette S., Jeff S.
  • Will S., Bookkeeper

2. Building & Maintenance Report (Jerry Z.):

Jerry was not able to attend the January 2022 board meeting. Updates will be provided in February.

3. Financial Report:

Jeff provided a summary of the December financials. An error was posted to the balance sheet which overstates the balance in the picnic reserve account by $523; this will be corrected in the proper period to ensure it doesn’t affect the tax returns for 2021. Squad 6G turned over $500 to be reserved for future Thanksgiving events, so an item has been added to the balance sheet for future reference. The bookkeeper pointed out that our trash removal bill was higher than expected, but the invoice indicates we paid a partial month for December plus a prepayment for January, which means our new vendor is billing RBA appropriately. The December financials were approved with the understanding corrections would be made.

4. Old Business:

The minutes from the December board meeting were approved after the following updates: Our trash removal contract with Republic was cancelled as decided by the board. The new vendor, Aspen, dropped of our containers and Republic picked up our old dumpster. RBA approved a gift for our Neighbors, and we gave them a plant, chocolates, mixed nuts, and a meat and cheese tray before Christmas. Spruce Linen was very appreciative of these items. Timothy C. provided content for the January 2022 Dry Sheet as expected. He intends to include additional content including recovery related videos for the February 2022 Dry Sheet.

5. New Business:

Dana Jo is working with Jim B. to take over the library responsibilities. The two of them met during January to set this transition in motion. We thank them both for their service.

Norton received an engagement letter from our tax preparer. The board approved utilizing this firm to file RBAs 2021 informational tax return as they have done in previous years.

The board discussed the new mask requirement at RBA. A majority of the board members, after speaking with our pledging membership, voted to reinstate the mask requirement. Signs have been posted on all doors notifying meeting attendees of this policy. A board member noted that we should provide signs printed in color instead of black and white, and we hope to implement this change soon.

Our bookkeeper, Will S., resigned from his position effective January 10, 2022. Will has moved to a location far from the club making the commute inconvenient for him. We thanked Will for his service. The board voted to transition the bookkeeping position to Joe R.

The Board of Trustees has set a date of May 21rst, 2022 for the annual One Year Banquet event. Roger B. intends to discuss a budget and proposed ticket prices during future board meetings.
